FAQ: How do I assign a user to a document? Can I assign multiple users?

Assigning users to a document in Zudello helps delegate responsibility, track ownership, and filter lists.

How to Assign:

  1. Locate Assign Icon: You can usually assign users from two places:
    • List/Board/Table View: Look for an "Assign User" icon (often a person silhouette with a plus sign) on the document card or row.
    • Document Viewer: Look for the same icon in the header area near the document number or status.

  2. Click Icon: Click the Assign User icon.
  3. Select User(s): A dropdown or search box appears.
    • Start typing the name of the user you want to assign.
    • Select the user from the list.
    • Yes, you can assign multiple users. After selecting the first user, click back into the search box and search/select additional users.

  4. Confirm: Click away or click a confirmation button (if present). The selected users' avatars or names will appear as assignees.

Key Points:

  • Permissions: You typically need {Module}:{Submodule}#UPDATE permission for the document you are assigning users to.
  • Visibility: Assigning a user does not automatically grant them permission to see the document if they don't already have it via their User Group and Data Permissions. However, Data Permissions can be configured based on assignment (e.g., "Own" access allows users to see documents assigned to them).
  • Filtering: Users can easily filter lists to see documents assigned specifically to them using the "My Items" Quick Filter or by filtering on the "Assignee - User" field.
  • Notifications: Depending on Sentence configuration, assigning a user might trigger a notification to them.
