FAQ: When should I merge documents? How does it work?

The Merge action in Zudello allows you to combine multiple separate document records (and their associated files) into a single document record.

When to Use:

  • An invoice and its supporting documents (e.g., timesheets, delivery dockets) were uploaded separately but should be treated as a single record for processing or approval.
  • Multiple pages of the same invoice or document were accidentally uploaded as separate files.
  • Combining related correspondence or documentation with a primary transaction document.

How it Works:

  1. Open Primary Document: Navigate to and open the main document you want to merge others into. This will become the final, combined document record.
  2. Select Merge Action: Click the More Actions (...) menu > Merge.

  3. Select Documents to Merge: A modal appears allowing you to search for and select other existing documents in Zudello.
    • Use the search bar to find the document(s) you want to merge into the primary one.
    • Select the checkbox next to each document to include in the merge.

  4. Confirm Merge: Click Merge.

Outcome:

  • The selected documents (those you checked in the modal) are usually marked as Deleted or Archived.
  • Their original uploaded files are combined (appended) into the file associated with the primary document (the one you started the merge from).
  • The data (header fields, lines) from the merged documents is NOT automatically combined onto the primary document. Only the files are merged. You may need to manually update the primary document's data based on the content of the merged files.
  • The primary document retains its history, and the merge action is logged in its Audit History.

Permissions:

  • Merging requires permissions to modify the primary document ({Module}:{Submodule}#UPDATE) and potentially permissions to delete/archive the documents being merged in ({Module}:{Submodule}#DELETE/#ARCHIVE).
