FAQ: What are bulk actions? How do I use them?

Bulk Actions allow you to perform the same action (like changing status, assigning users, or tagging) on multiple selected documents at once, saving significant time compared to actioning each document individually.

Availability:

Bulk actions are typically available in the List View and Table View within Zudello submodules.

How to Use Bulk Actions:

  1. Select Documents:
    • Go to the relevant submodule list (e.g., Purchasing > Invoices).
    • Select the checkboxes next to each document you want to include in the bulk action.
    • You can often use a "Select All" checkbox at the top of the list (or table header) to select all visible documents on the current page.

  2. Access Bulk Action Bar: Once one or more documents are selected, a Bulk Action Bar usually appears at the bottom of the screen.

  3. Choose Action: Click the desired action button on the bar. Common bulk actions include:
    • Status: Change the status of all selected documents (e.g., move multiple "Ready" invoices to "Deleted").
    • Assign: Assign one or more users to all selected documents.
    • Tag: Add or remove tags from all selected documents.
    • (Future) Submit / Approve: Potentially submit or approve multiple documents at once (often with restrictions based on validation status).
  4. Configure & Confirm: Depending on the action chosen, a modal might appear for further configuration (e.g., selecting the target status, user, or tag). Confirm the action.
  5. Processing: Zudello processes the action for all selected documents. This might take a few moments for large selections.

Permissions:

  • To perform a bulk action, you need the necessary permission for that action for each selected document's type. For example, to bulk change status to Deleted, you need {Module}:{Submodule}#DELETE permission.
  • If you lack permission for any of the selected documents, the bulk action might fail entirely or only apply to the documents you do have permission for (behaviour may vary).

Use Cases:

  • Deleting multiple spam documents.
  • Archiving old, completed documents.
  • Assigning a batch of new invoices to a specific AP clerk.
  • Tagging multiple related documents for a project.
