FAQ: What are related documents vs related attachments? How do I add/remove them?

Zudello provides two ways to link supporting information to a primary document record, found in the sidebar of the document viewer: Related Documents and Related Attachments. They serve different purposes.

Related Documents:

  • What it is: Creates a link between the current Zudello document record and another existing Zudello document record (e.g., linking an Invoice back to its original PO, linking multiple invoices to a single Statement).
  • How it Works: You search for and select another document that already exists within Zudello. A link is created between the two records. Clicking the link takes you to the other document record within Zudello.
  • Data: No files are copied or moved. It's simply a relational link between two records in the database.
  • Use Case: Showing the relationship between different stages of a workflow (Req -> PO -> GR -> Invoice), linking correspondence to a transaction, grouping related transactions.
  • Adding/Removing:
    • Click "Add Document" in the Related Documents sidebar.
    • Search for and select the document(s) to link.
    • To remove, click the 'x' or unlink icon next to the linked document name.
    • Requires {Module}:{Submodule}#UPDATE permission for the current document. Viewing the linked document requires appropriate permissions for that document.

Related Attachments:

  • What it is: Allows you to upload external files (PDFs, images, spreadsheets, etc.) and attach them directly to the current Zudello document record.
  • How it Works: You upload a file from your computer. Zudello stores this file and associates it with the current document record. Clicking the link downloads the attached file.
  • Data: The uploaded file is stored as a separate entity linked to the Zudello record.
  • Use Case: Attaching supporting evidence to an expense receipt (e.g., conference agenda), adding supplier correspondence related to an invoice query, attaching delivery dockets or timesheets to an invoice.
  • Adding/Removing:
    • Click "Upload File" or drag-and-drop into the Related Attachments sidebar.
    • Select the file from your computer.
    • To remove, click the delete icon (trash can) next to the attachment name.
    • Uploading requires SYSTEM:FILE#CREATE and {Module}:{Submodule}#UPDATE. Deleting requires SYSTEM:FILE#DELETE and {Module}:{Submodule}#UPDATE.

In Summary:

  • Use Related Documents to link to other records already existing within Zudello.
  • Use Related Attachments to upload and store external supporting files directly against a Zudello record.
