FAQ: What is Default Coding for Suppliers/Customers/Items?
Default Coding refers to predefined coding values (like Account Code, Tax Rate, Department, Location, etc.) that you can set directly on Supplier, Customer, or Item records within Zudello.
Purpose:
The goal is to automate the coding process for transactions. When Zudello's Enrichment process links a transaction (or transaction line) to a Supplier, Customer, or Item record that has default coding configured, it automatically applies those default values to any corresponding empty fields on the transaction/line.
How it Works:
- Configuration: You edit a Supplier, Customer, or Item record and set default values for specific fields (e.g., set the default Account Code for Supplier X to "Office Supplies", set the default Tax Rate for Item Y to "GST"). See Supplier Default Coding, Customer Default Coding, Item Default Coding.
- Linking: During Enrichment, Zudello links an incoming document/line to the relevant Supplier/Customer/Item record.
- Application: Zudello checks the linked record for default coding rules. For each rule, it looks at the corresponding field on the transaction/line.
- If the field on the transaction/line is empty, Zudello applies the default value from the linked record.
- If the field on the transaction/line already has a value (from extraction, keyword coding, or an earlier default rule), the default is skipped for that field.
- Priority: Defaults are applied in a specific order (User/Inbox -> Allocations -> Item -> Supplier/Customer). An earlier default takes precedence for the same field.
Benefits:
- Reduces Manual Entry: Significantly speeds up coding by pre-filling common values.
- Improves Consistency: Ensures standard coding is applied based on the supplier, customer, or item involved.
- Increases Accuracy: Reduces typos and errors associated with manual coding.
Default coding is a powerful tool for automating the routine aspects of transaction processing. See Why aren't my default coding rules applying? if defaults aren't working as expected.
