FAQ: Where does Zudello get dimension data from?

Dimension Data refers to the lists of options available in dropdown fields used for coding and categorising transactions and records in Zudello. Common examples include:

  • GL Accounts
  • Departments
  • Locations
  • Subsidiaries
  • Projects / Project Tasks
  • Cost Centres / Cost Types
  • Tax Rates
  • Payment Methods / Payment Terms
  • Expense Categories / Mileage Rates
  • Units of Measure

The primary source for most dimension data in Zudello is typically your organisation's Enterprise Resource Planning (ERP) or Accounting System (e.g., Sage Intacct, MYOB Advanced, NetSuite, Xero).

How it Works:

  1. ERP as Source of Truth: Your ERP system is usually considered the master source for financial dimensions like Accounts, Departments, Locations, Tax Rates, etc.
  2. Integration Sync: Zudello integrates with your ERP system. Configured integration workflows run periodically (e.g., nightly, hourly) to automatically synchronise dimension data from the ERP to Zudello.
  3. Zudello Storage: Zudello stores a copy of this dimension data (including codes, names, status - active/inactive, and potentially relationships/dependencies) in its own database.
  4. Dropdown Population: When you click a dimension dropdown field (e.g., Account Code) on a Zudello document, the list is populated with the active dimension records synced from your ERP and stored within Zudello.

Other Potential Sources:

  • Manual Creation/Editing in Zudello: While ERP sync is common, some dimensions might be managed directly within Zudello (Settings > Dimensions section), especially if:
    • There is no ERP integration.
    • The specific dimension doesn't exist in the ERP (e.g., custom tracking categories).
    • The integration is configured for two-way sync (less common for core financial dimensions).
  • Defaults: Some lists, like Mileage Rates or certain Expense Categories, might be initially populated with Zudello system defaults that administrators can then customise.

Essentially, Zudello aims to mirror the relevant coding structures from your primary financial system to ensure consistency and successful integration when transactions are pushed back to the ERP. If dimension options are missing or incorrect in Zudello, the issue often needs to be addressed in the source ERP system first, followed by an integration sync.
