FAQ: Can I create/edit Suppliers/Customers/Items directly in Zudello?
Whether you can create or edit relationship records (Suppliers, Customers, Employees) and inventory Items directly within Zudello depends heavily on how your Zudello team is integrated with your primary business system (like an ERP or accounting software).
Scenario 1: ERP is the Source of Truth (Most Common)
- Configuration: Your integration is set up for one-way sync from the ERP to Zudello for these records. The ERP is considered the master data source.
- Behaviour:
- Creating: Creating new Suppliers, Customers, or Items directly in Zudello is usually disabled or strongly discouraged. New records should be created in the ERP first and then synced to Zudello.
- Editing: Editing fields in Zudello that are synced from the ERP (e.g., Supplier Name, Address, Item Price) is often disabled, or any changes made in Zudello will be overwritten during the next sync from the ERP. Changes must be made in the ERP.
- Zudello-Specific Fields: You can typically edit fields that only exist in Zudello and are not synced from the ERP (e.g., Supplier/Item default coding rules, settings like "Consolidate Lines", Item Alternatives).
- Reasoning: This approach maintains data consistency and ensures the ERP remains the single source of truth, preventing conflicts between the two systems.
Scenario 2: Zudello is the Source of Truth (Less Common for Core Data)
- Configuration: The integration might be configured for two-way sync, or Zudello might be intentionally set up as the master for certain records (e.g., managing Supplier onboarding details before the supplier exists in the ERP).
- Behaviour:
- Creating: You can create new records directly in Zudello. These might then be synced to the ERP via the integration.
- Editing: You can edit records in Zudello. Changes might sync back to the ERP (if two-way sync is configured for those fields).
- Reasoning: Used when Zudello manages a process before the ERP does (like supplier onboarding) or when a less integrated approach is taken. Requires careful configuration to avoid sync conflicts.
Scenario 3: No ERP Integration
- Configuration: Zudello is used standalone or with manual data export/import.
- Behaviour: You can create and edit Suppliers, Customers, and Items directly within Zudello, as it is the primary system for managing this data in this context.
How to Tell:
- Ask Your Administrator: The best way is to ask your Zudello administrator or implementation partner how your system is configured regarding data mastering and sync direction for Suppliers, Customers, and Items.
- Observe UI: If the "New Supplier/Customer/Item" buttons are missing, or if core fields are greyed out (read-only) on existing records, it's a strong indicator that management is disabled in Zudello, and changes should be made in your ERP.
