FAQ: How do I record that goods have been received?
You record the receipt of goods or services against a Purchase Order (PO) in Zudello by creating a Goods Receipt (GR) document. This is usually done using the Create Goods Receipt action available on the PO.
Steps:
- Find the Purchase Order: Navigate to Purchasing > Orders. Find the PO for which you have received goods/services. The PO should typically be in a Placed or Partially Received status.
- Open the PO: Click on the PO to open the document viewer.
- Select Create Goods Receipt Action: Click the More Actions (...) menu at the top right. Select Create Goods Receipt.
- Note: You need the
PURCHASING:ORDER#RECEIVE
permission to see and use this action.

- Enter Received Quantities: A modal window ("Receive Items") will appear, listing the lines from the PO.
- For each line item, enter the Quantity you actually received in the Receiving column.
- You can receive partial quantities.
- You can use the Receive All button to quickly populate the Receiving column with the remaining quantities for all lines.

- Confirm: Click Receive.
- New Goods Receipt Created: Zudello automatically creates a new Goods Receipt document (Inventory > Receipts) containing lines for the items and quantities you just entered.
- The GR is automatically linked (allocated) back to the source PO.
- The GR typically starts in a
DRAFT
orREADY
status, potentially requiring submission or further processing depending on your workflow.
- PO Status Update: The status of the source PO may automatically update (via Sentences) based on the receipt (e.g., to Partially Received or Received).
