Step 2: Code and Validate Expense
After Zudello processes the receipt (status changes to Ready or User Review), review the details, add necessary coding, and validate it.
Steps:
- Find and Open Expense: Navigate to Expenses and Travel > Expenses in the web app (mobile or desktop). Locate the expense created from your receipt and click/tap to open it.
- Select Expense Type: Tap/Click the Type field and select the category that best fits the expense (e.g., "Meals & Entertainment", "Travel - Taxi", "Office Supplies").
- Review Extracted Data: Check the automatically extracted Supplier, Date, and Total Amount against the receipt image. Correct any errors.
- Complete Required Coding: Fill in any additional fields required by the expense type or company policy:
- Description/Purpose: Enter a clear business reason for the expense.
- Dimensions: Select values for Department, Project, GL Code, etc., if required.
- Attendees/Guests: List participants if it was a meal or entertainment expense.
- Payment Method: Indicate if paid with Personal funds or Corporate Card.
- Validate: Click/Tap the Validate button. Zudello checks for policy violations or missing required fields. Address any errors highlighted.
What Happens Next?
Once successfully validated, the expense status changes to Ready to Claim.
