FAQ: What is Delegation and how do I set it up?
Delegation in Zudello allows you to temporarily assign your approval responsibilities to another user (your delegate). This is useful when you are out of the office or otherwise unavailable to action your pending approval requests.
How it Works:
- When you set up a delegation for a specific Team:
- You choose a Delegate (another user in that team).
- You set a Start Date and an optional End Date.
- You decide if existing pending approvals should also be delegated.
- You decide if your permissions/visibility should also be delegated (Delegate Duties).
- During the active delegation period:
- Any new approval steps assigned to you in that team are automatically reassigned to your delegate.
- Your status for those steps shows as
DELEGATED
. - The delegate receives the approval notification and sees the request in their Requests submodule.
- The delegate can then Approve or Reject the document on your behalf.
- After the End Date (or if manually removed), new approvals revert to being assigned to you.
How to Set Up Delegation:
- Access Profile: Click your profile icon/name at the top right.
- Select Delegation: Choose the Delegation option.
- Select Team: Choose the specific Team you want to set up delegation for from the dropdown.
- Configure Delegation:
- Delegate To: Search for and select the user you want to delegate to.
- From date: Select the date delegation should start.
- Until date (Optional): Select the date delegation should end. Leave blank for indefinite delegation.
- Delegate existing approval requests: Turn ON if you want approvals already assigned to you to be immediately delegated. Leave OFF if only new requests should be delegated.
- Delegate Duties: Turn ON if the delegate needs your specific permissions or data visibility to action the requests. Leave OFF if the delegate has sufficient access on their own. See What does "Delegate Duties" mean?.
- Update: Click Update to save and activate the delegation.
Administrators can also manage delegations for other users via Organisation Settings > Users > Edit User > Delegation.
