FAQ: How do I know if a document needs my approval?

Zudello provides several ways to identify documents that require your approval action:

  1. Requests Submodule:

    • This is the primary location to find all items currently awaiting your approval.
    • Navigate to the relevant module (e.g., Purchasing, Expenses).
    • Click the Requests submodule in the left sidebar.
    • This view automatically filters to show only documents where you (or a group you are a member of) are assigned to the currently active approval step with a PENDING status.

  2. Notifications:

    • Depending on your Notification Settings and the workflow configuration (Sentence "Notify" toggle), you may receive notifications via:
      • Email: An email containing details and links to the document.
      • Slack/Teams: A message via integrated collaboration tools.
      • (Future) In-App Notifications: A notification centre within Zudello.
    • These notifications alert you directly when an approval is assigned to you.
  3. List/Board/Table Views:

    • When viewing standard document lists (e.g., Purchasing > Invoices), documents in an Approval status will be visible (provided your Data Permissions allow).
    • You can filter these views by Status = "Approval" (or your specific approval status names).
    • Opening a document will show the approval flow display at the top, indicating if it's awaiting your action.

The Requests submodule is the most direct way to see a consolidated list of everything currently needing your approval action across different document types within a specific module.
