FAQ: What does "Delegate Duties" mean?
The Delegate Duties toggle is an important option within the Approval Delegation settings in Zudello.
Purpose:
It determines whether your delegate temporarily inherits your specific User Group memberships (and therefore your permissions and data visibility) for the duration of the delegation period, specifically for the purpose of actioning your delegated approvals.
How it Works:
-
Delegate Duties = OFF (Default):
- The delegate is assigned the approval task, but they must rely on their own existing permissions and data visibility to view and action the document.
- If the delegate does not normally have permission to see the specific document (due to their standard User Group assignments or Data Permissions), they will receive the notification but will not be able to open or approve/reject the document.
- Use this setting if your delegate already has sufficient independent access to handle the approvals.
-
Delegate Duties = ON:
- The delegate is assigned the approval task.
- In addition, for the duration of the delegation, the system temporarily grants the delegate the same User Group memberships (and associated permissions/data visibility) that you have within that specific team.
- This allows the delegate to see and action documents they might not normally have access to, effectively acting with your level of access for the purpose of handling your delegated approvals.
- Their underlying permissions outside of delegated tasks remain unchanged.
- Use this setting if your delegate needs your higher level of access or broader data visibility to properly review and action the approvals assigned to you.
In Summary:
Turn Delegate Duties ON if your delegate needs to temporarily "borrow" your access rights to handle your approvals effectively. Leave it OFF if their own standard permissions are sufficient.
