Configuring Item Price Blocking
Control spending and enforce pricing policies by automatically blocking documents when item prices exceed predefined limits. This guide explains how to enable and use the "Block processing with Item price above blocking level" extension.
Best practices
- Define clear price blocking levels based on your procurement policies.
- Ensure item records have accurate pricing information where possible.
- Communicate the price blocking rules to users involved in purchasing and approvals.
- Regularly review and update blocking levels as needed.
Understanding Item Price Blocking
This extension adds a validation check during document processing, typically before submission or approval. It compares the unit_price
of each line item against a pre-configured blocking level (likely set on the Item record itself, although the exact mechanism isn't detailed in the source document).
If any item's unit price exceeds its designated blocking level, Zudello will:
- Display a validation error message.
- Prevent the user from submitting or potentially approving the document until the price issue is resolved (e.g., price corrected, item changed, or override applied if configured).
This rule helps prevent accidental overspending or purchasing items at unapproved prices.
Enabling the Extension
Item Price Blocking is configured per Document Type:
- Navigate to Settings via the company menu.
- Click Document Types in the left sidebar.
- Select the Document Type where you want to enforce price blocking (e.g., Purchase Requisition, Purchase Order, Purchase Invoice).
- Click Edit.
- Go to the Extensions tab.
- Find the Block processing with Item price above blocking level extension in the list.
- Turn on the toggle to enable the extension.
- Click Update to save the changes.
Repeat these steps for any other relevant Document Types.
Note: The specific configuration of the "blocking level" itself (e.g., setting the price limit on the Item record) is not detailed in the source product_docs.md
. This guide focuses only on enabling the extension check. Further configuration might be required on Item records or potentially within the extension settings if options become available.
User Experience
When this validation is active, if a user attempts to process a document containing an item whose price exceeds the blocking level, they will encounter a validation error. The error message will indicate the specific item and the price issue, preventing further processing until addressed.
