Section 1: Personal vs. Corporate Card Explained
Understanding the difference is key to ensuring your expenses are processed correctly.
Personal Spend:
- Definition: Any business expense you paid for using your own money (cash, personal credit/debit card, personal bank transfer).
- Purpose: You need to be reimbursed by the company for these expenses.
- Claim Type: Expenses marked as Personal Spend are typically added to Reimbursement Claims.
Corporate Card Spend:
- Definition: Any business expense you paid for using a credit or debit card issued to you by the company.
- Purpose: The company has already paid (or will pay) the card provider directly. These expenses need to be reconciled against the company card statement, not reimbursed to you.
- Claim Type: Expenses marked as Corporate Card Spend are typically added to Reconciliation Claims (or similar terminology used by your company).
How to Select the Spend Type:
- Open the Expense: When coding an expense (Expenses and Travel > Expenses), open the expense record.
- Locate Spend Type Field: Find the field designated for indicating the payment method. This might be labelled "Spend Type", "Payment Method", "Paid With", or similar. It might be a dropdown or radio buttons. (Note: The exact field name and options depend on your company's Zudello configuration).
- Choose Correct Option: Select the option that corresponds to how you paid:
- Choose "Personal", "Cash", "Personal Card", or similar for personal spend.
- Choose "Corporate Card", "Company Card", or similar for corporate card spend.
- Complete Coding: Finish coding the rest of the expense details.
- Validate/Save: Validate or save the expense.
Important:
- You generally cannot mix Personal Spend and Corporate Card Spend expenses within the same claim.
- Selecting the wrong spend type can delay processing or lead to incorrect payments/reconciliations. Double-check before validating or adding to a claim.
