Troubleshooting: Contract threshold is not tracking spend

Problem

A contract threshold shows zero spend, or a total that does not include documents you expect it to, so the Remaining figure on your contracts and documents cannot be relied on.

Common causes

  • The contract is not active, or is missing an Effective Date or an Expiry Date
  • The documents fall outside the contract's date window
  • The threshold has no dimensions set, or has dimensions the document lines do not carry
  • The threshold has no Threshold Type or no Total
  • No contract configuration covers the module and submodule of the documents concerned
  • The contract has not been re-linked since it was changed, or since it was created by an integration

Troubleshooting steps

  1. Check the contract is live. Open the contract and confirm its status is one of your active statuses, and that both Effective Date and Expiry Date are filled in. A contract missing either date matches nothing at all, however the thresholds are set up.

  2. Check the dates cover the documents. The document's date has to fall inside the contract's effective to expiry window. An invoice dated before the contract took effect is not counted.

  3. Check the threshold has dimensions. A threshold with every dimension blank matches nothing. Open the Contract Thresholds section and confirm at least one dimension column is filled in on the row.

  4. Check the dimensions against a document that should count. Every dimension set on the threshold has to match the line. A threshold scoped to a department only picks up lines coded to that department, and a line with no department at all does not match.

  5. Check the type and the total. Confirm the row has a Threshold Type of Amount or Quantity, and a Total. A row saved without them does not behave predictably.

  6. Check the contract configuration. The contract's configuration decides which documents count and which bucket they land in. If it covers purchasing invoices but your spend is on expenses, nothing is counted, and no error is shown. Ask your administrator to confirm the configuration covers the modules and submodules you expect. See Setting up contracts.

  7. Save the contract again. Saving re-links the contract to your transactions, clearing the existing links and rebuilding the spend figures from scratch. This is the quickest fix after any change to dates, dimensions, totals, the supplier or the status.

  8. Check how the contract was created. Contracts and thresholds created by an integration or the API are not re-linked automatically. Where a sync creates them, the integration has to trigger a re-link afterwards. Ask your administrator or Zudello support to confirm this is happening.

  9. Check what you are allowed to see. Where Only show contract information to contract owners is turned on for the document type, threshold figures are hidden from anyone who is not a contract or threshold owner. A threshold that is tracking perfectly well can look empty to the wrong user.
