Quick item creation

Create new items instantly while processing documents. Zudello's quick item creation feature allows you to add items to your catalogue without leaving the transaction you're working on.

When you're processing a transaction and need to create a new item that doesn't exist in your catalogue, you can now create it directly from the SKU search field. This streamlines your workflow and ensures consistent data entry between your transactions and item records.

Best practices

• Use clear, descriptive SKUs that follow your organisation's naming conventions
• Ensure item descriptions are detailed enough for other users to understand
• Double-check price information before saving new items
• Consider whether the item should be added to existing item categories or groups

Required permissions

To create new items from the document viewer, you need the following permissions:

• Inventory Catalogue Create

Contact your organisation administrator if you are unsure about your permissions.

Creating a new item from a transaction

1. While processing a document, locate the transaction line where you need to assign an item
2. Click in the SKU field and begin typing to search for existing items
3. If no existing item matches your needs, click the + icon that appears in the search results

4. The item creation form will open, with key information automatically populated from your transaction line:
   • SKU: Copied from the transaction line SKU
   • Description: Copied from the transaction line description
   • Price: Automatically set based on the transaction type and line price

5. Complete any additional required fields, such as:

   • Item categories or groups
   • Units of measure
   • Additional pricing information
   • Account codes or other dimensional coding

6. Click Save

7. Click Back to Document Type

The newly created item will be automatically selected for your transaction line, and you can continue processing your document.

Price population logic

Zudello automatically populates pricing information based on the transaction type:

• Purchase price: Used for purchasing, inventory, and expense transactions
• Sell price: Used for sales transactions

If required, you can modify these prices in the item creation form before saving.

Returning to your transaction

If you decide not to create the item:

1. Click Back to Document Type
2. You'll return to your transaction without any changes
3. You can continue searching for existing items or restart the process

Managing created items

Items created through quick item creation are added to your inventory catalogue and can be:

• Edited through the standard item management interface
• Used in future transactions
• Found through normal SKU searches

Important considerations

• Quick item creation requires the Allow item creation setting to be enabled for your organisation
• New items follow the same validation rules as items created through standard processes
• All created items are immediately available for use across your organisation
• Consider your organisation's item approval processes before creating new items
