FAQ: Why did my document go to "User Review" instead of "Ready"?

After Zudello processes an uploaded or emailed document (completing the Scanning stage), it ideally moves to the Ready status, indicating it's complete and validated enough for the next step (like submission). However, sometimes documents land in User Review instead.

This means the system requires your attention because something during the automated Enrichment or Validation process flagged a potential issue or couldn't be fully resolved automatically.

Common Reasons for "User Review" Status:

  1. Failed Validation Rules: The document failed one or more critical validation checks configured via Extensions (e.g., totals don't balance, required notes missing, ABN invalid). See Understanding and Resolving Validation Errors.
  2. Supplier/Customer Not Linked: Zudello could not confidently match the document to an existing Supplier or Customer record. Manual selection is required. See Why didn't my supplier/item match automatically?.
  3. Item Not Linked: One or more lines contain an SKU, but Zudello couldn't match it to an existing Item record or Alternative. Manual selection is needed. See Why didn't my supplier/item match automatically?.
  4. Missing Mandatory Coding: Required coding fields (Account, Department, etc., based on Form configuration) could not be populated automatically via defaults or other rules and require manual entry.
  5. PO Required But Not Linked: The linked Supplier requires a PO, but Zudello couldn't automatically find and link a matching PO based on the extracted PO number. See Enrichment Engine - Link Transactions.
  6. Low Extraction Confidence (Less Common in v3): While less common with the LLM pipeline, the system might flag fields where extraction confidence was very low, prompting user verification.
  7. Specific Workflow Configuration: An Automation Sentence might be explicitly configured to set the status to User Review under certain conditions defined by your administrator.

What to Do:

  1. Open the Document: Navigate to the document in User Review.
  2. Look for Indicators: Check for error/warning banners, icons next to fields, or messages in the Issues pop-up (Reviewing Validation Issues). These usually pinpoint the problem.
  3. Review and Correct: Carefully review the document data and coding.
    • Manually link the correct Supplier/Customer/Items if needed.
    • Fill in any missing mandatory coding fields.
    • Correct data to resolve validation errors (e.g., fix totals, add notes).
    • Manually match to a PO if required.
  4. Save/Validate: Click Save or Update. If all blocking issues are resolved, the status should automatically update (often to Ready), or a "Validate" button might appear to confirm resolution before moving to Ready.

The User Review status acts as a safety net, ensuring documents with potential issues get human attention before proceeding.
