For a Mileage Expense, clicking the Validate Expense button performs several key actions and checks before moving the expense to the Ready to Claim status.

What Happens During Validation:

  1. Route Calculation: If you entered addresses (Start, Stops, End), Zudello re-calculates the distance using the integrated mapping service (e.g., Google Maps) based on the latest address information.
  2. Amount Calculation: Zudello recalculates the claimable Amount based on the determined (or manually entered) Distance multiplied by the selected Mileage Rate.
  3. Mandatory Field Checks: It verifies that all fields marked as mandatory on the Mileage Expense form configuration are filled in (e.g., Employee, Date, Purpose, Addresses/Distance, Mileage Rate).
  4. Policy Checks: It runs any configured Expense Policies relevant to mileage (e.g., maximum distance per trip, date restrictions).
  5. Status Update: If all checks pass (no blocking Error level validation issues):
    • The expense status changes from User Review (or Draft) to Ready to Claim.
    • The expense becomes available to be added to an Expense Claim.

Why is it Needed?

  • Ensures the distance and amount are calculated based on the final address/rate information.
  • Confirms all required data for processing and compliance has been entered.
  • Acts as a final check before the mileage expense can be formally submitted as part of a claim.
