Tutorial: Set Up a Basic Approval Rule (Sentence)

Goal: Automate the approval process by creating a simple rule (Sentence) that routes documents to a specific user group if they exceed a certain value.

Manually assigning every document for approval is time-consuming and prone to inconsistency. Zudello's automation engine, powered by Sentences, allows you to define rules that automatically route documents based on specific criteria. A common requirement is to send documents exceeding a certain financial threshold to a designated group for review.

This tutorial guides you through creating the necessary components for a basic approval rule: first, setting up a User Group for your approvers; second, building the Sentence itself with the trigger, condition (checking the document total), and action (assigning approval to the group); and finally, testing the rule to ensure it works as expected.

Prerequisites:

  • Admin access to Zudello Settings.
  • Understanding of User Groups.
