Step 3: Test the Approval Rule
Verify that your new Sentence routes documents correctly based on the condition you set.
Steps:
- Prepare Test Documents:
- Create or upload at least two test invoices:
- One with a Total below your threshold (e.g., $500).
- One with a Total above your threshold (e.g., $1500).
- Ensure both invoices are fully coded and ready for submission.
- Create or upload at least two test invoices:
- Submit First Test Document (Below Threshold):
- Open the invoice with the total below $1000.
- Click Save and Submit.
- Observe the status. It should not enter the "Finance Approval" status defined in your Sentence (it might go to "Completed" or another status based on other rules).
- Submit Second Test Document (Above Threshold):
- Open the invoice with the total above $1000.
- Click Save and Submit.
- Observe the status. It should change to Processing, then to the status associated with your approval milestone (e.g., Approval).
- Verify Approval Assignment:
- Open the second test document (now in Approval status).
- Check the Approval Flow section at the top left.
- Confirm that the correct Milestone Name ("Finance Approval") and Step Name ("Approve Invoice > $1k") appear.
- Verify that the correct User Group ("Finance Approvers - Level 1") is listed as the pending approver.
What Happens Next?
If the tests are successful, your basic approval rule is working correctly. Documents exceeding the threshold are routed to the designated group, while others bypass this specific step.
