Section 1: Manage User Groups and Permissions

User Groups are the foundation for controlling what actions users can perform within Zudello (e.g., create invoices, approve documents, edit settings). Let's explore how to create and manage these groups.

Steps:

  1. Navigate to User Groups:
    • Begin by clicking the company menu (usually your name or logo) in the top right corner.
    • Select your Organisation Name from the menu.
    • In the settings sidebar that appears on the left, click User Groups.
  2. To Create a New Group:
    • Click the Create button.
    • Enter a clear Name (e.g., "AP Clerks - Standard Access") and a helpful Description.
    • Select the Type (this is typically "Access" for groups that define action permissions).
    • Ensure the Can be delegated toggle is turned OFF, unless you have a specific reason to allow this group's permissions to be delegated.
    • Click Create. Don't worry about adding permissions just yet; we'll do that next.
  3. To Edit an Existing Group (or the new one):
    • Find the desired group in the list.
    • Click the edit icon (pencil) at the end of its row.
  4. Assign/Modify Permissions:
    • Inside the group editing modal, you'll find a comprehensive list of available permissions, often organised by Zudello module or function.
    • Carefully select the checkboxes next to each permission this group should possess (e.g., Purchase Invoice View, Purchase Invoice Update, Purchase Invoice Submit).
    • Conversely, deselect the checkboxes for any permissions members of this group should not have.
    • Tip: The list can be long! Use the search bar at the top or expand/collapse sections to locate specific permissions more easily. Remember the principle of least privilege – only grant what's necessary. Often, users need related View and Visible permissions alongside Update or Create permissions to effectively perform tasks.
  5. Save Changes: Once you're satisfied with the permission set, click the Update button.
  6. Deactivate Group (If Needed): If you need to temporarily disable a group and all its associated permissions without permanently deleting it, edit the group, turn the Is active toggle OFF, and then click Update.

What Happens Next?

The User Group is defined with specific action permissions. Now you need to assign users to this group.
