Step 2: Review Extracted Data & Complete Coding

For non-PO invoices, you need to carefully review the extracted information and manually enter all required coding details.

Steps:

  1. Open the Invoice: Click on the invoice record from the Purchasing > Invoices submodule (likely in Ready or User Review status).
  2. Review Header Information:
    • Verify the Document Number, Date Issued, Due Date, and Currency match the physical invoice.
    • Ensure the correct Supplier is matched under the Company section. If not, click Match with this supplier and select the correct one.
  3. Select Document Type: Choose the appropriate Type for a non-PO invoice from the drop-down menu (e.g., "Invoice - No PO").
  4. Complete Line Level Coding:
    • Go through each line item on the invoice.
    • Manually enter all required coding information. This typically includes:
      • Account Code: Select the correct General Ledger account.
      • Description: Ensure the description is accurate.
      • Tax Rate: Select the applicable tax rate.
      • Dimensions: Select values for required dimensions like Department, Location, Project, etc.
      • Quantity & Unit Price: Verify these match the invoice.
    • Double-click in each required field and select the appropriate value from the drop-down or enter text as needed.
  5. Review Document Totals:
    • Verify the Subtotal, Tax, and Total Amount calculated by Zudello match the physical invoice.
    • If line prices include tax, ensure the Are the line totals inclusive of tax? toggle is turned on.
    • Address any validation errors related to totals.

What Happens Next?

With all data reviewed and coding completed, the invoice is ready for submission.
