Step 3: Complete Coding & Submit for Approval

With the invoice data reviewed and the three-way match confirmed, complete any final coding steps before submitting.

Steps:

  1. Review Document Type: Ensure the Type field reflects a three-way matched invoice if specific types are used (e.g., "Invoice - 3 Way Matched").
  2. Complete Line Coding:
    • Review coding on each line (Account Code, Dimensions, Tax Rate). Matching often copies coding from the PO/GR, but verify it's complete and correct according to the invoice context.
    • Fill in any missing required fields.
  3. Review Document Totals: Verify the calculated Subtotal, Tax, and Total Amount match the invoice image. Check the Are the line totals inclusive of tax? toggle.
  4. Add Notes/Attachments (Optional): Use Chat or Related Attachments if needed.
  5. Submit: Click Save and Submit.

What Happens Next?

The invoice enters the approval workflow. Because it passed the three-way match (assuming no major variances requiring special approval), it may follow a faster approval path compared to non-PO or two-way matched invoices, depending on your organisation's configuration.
