Configuring Statement Reconciliation Rules

Streamline your supplier statement reconciliation process by enabling extensions that automate matching and validate data entry. This guide explains how to configure these helpful extensions for the Statement document type.

Understanding Statement Reconciliation Extensions

Zudello offers several extensions specifically designed to improve the accuracy and efficiency of reconciling supplier statements:

  • Autocomplete statement line: This extension attempts to automatically suggest matching transactions (Invoices, Credits) from Zudello based on the information extracted from each statement line (e.g., document number, date, amount). This significantly speeds up the matching process.
  • Validate statement line debit or credit: This rule ensures that for each statement line, either the debit or the credit field contains a value, but not both. This prevents common data entry errors.
  • Validate statement line amount: This rule checks the validity of the amount field on each statement line, potentially ensuring it aligns with debit/credit entries or falls within expected ranges (specific logic depends on implementation).

Enabling these extensions helps ensure data integrity and reduces the manual effort required during reconciliation.

Enabling the Extensions

These extensions are configured specifically for the Statement Document Type:

  1. Navigate to Settings via the company menu.
  2. Click Document Types in the left sidebar.
  3. Select your Statement Document Type (e.g., "Supplier Statement").
  4. Click Edit.
  5. Go to the Extensions tab.
  6. Find and enable the toggle for each desired extension:
    • Autocomplete statement line
    • Validate statement line debit or credit
    • Validate statement line amount
  7. Click Update to save the changes.

User Experience

Once enabled:

  • Users reconciling statements may see suggested Invoice or Credit matches appear automatically as they review statement lines (due to Autocomplete statement line).
  • If a user tries to save a statement where a line has both a debit and credit value, or neither, a validation error will appear (due to Validate statement line debit or credit).
  • If a line amount is invalid according to the rule's logic, a validation error will appear (due to Validate statement line amount).

These features guide users towards accurate reconciliation and prevent common errors before the statement can be finalised.
