Troubleshooting: Incorrect Default Team or Profile Settings Applying
Problem
User profile settings are not working as expected:
- Logging in directs the user to the wrong team, not their selected Default Team.
- Manually uploaded documents are not automatically coded with the user's configured Default Coding (Subsidiary/Location) for the current team.
Common Causes
Incorrect Default Team
- No Default Team Set: The user hasn't selected a default team in their profile settings. Zudello may default to the first team in their list or the last one accessed.
- Default Set for Wrong Team: The "Is default team for user" toggle was enabled for the wrong team within the user's profile settings (remember, settings are per-team).
- Configuration Not Saved: Changes made to the default team setting were not saved correctly (Update button not clicked).
- Caching Issues: Browser cache might be loading outdated session information.
Incorrect Default Coding
- Defaults Not Configured: Default Subsidiary and/or Location were not selected for the specific team the user is currently working in (Profile > Team settings).
- Configuration Not Saved: Changes made to default coding settings were not saved.
- Document Not Manually Uploaded: Default coding only applies automatically to documents manually uploaded via the UI (drag-and-drop or "New..." button). It does not apply to emailed documents or documents created via integration/API.
- Inbox Defaults Override: If an Inbox has default Subsidiary/Location configured, those defaults take precedence for documents arriving via that specific inbox address, overriding the user's profile defaults.
- Fields Already Populated: If the Subsidiary/Location fields are populated during extraction or by other rules (like Keyword Coding) before user defaults are applied, the user defaults will be skipped for those fields.
Troubleshooting Steps
Incorrect Default Team
- Verify Default Team Setting:
- Ask the user to go to Profile > Default Settings.
- Select the intended default team from the Team settings dropdown.
- Ensure the Is default team for user toggle is ON for that team.
- Ensure the toggle is OFF for all other teams in the dropdown.
- Click Update.
- Clear Cache/Try Incognito: Ask the user to log out, clear their browser cache and cookies, or try logging in via an incognito/private window.
- Admin Check (Admin Task): An administrator can verify and set the default team via Organisation Settings > Users > Edit User > Team settings > Default Settings.
Incorrect Default Coding
- Verify Default Coding Settings:
- Ask the user to go to Profile > Default Settings.
- Select the team they were working in when the default coding failed to apply from the Team settings dropdown.
- Check if the desired Subsidiary and Location are selected in the default coding section. Select them if needed.
- Click Update.
- Confirm Upload Method: Was the document manually uploaded via the UI? Default coding does not apply to emailed documents.
- Check Inbox Configuration (Admin Task): If the document was emailed, go to Settings > Mailboxes. Check if the receiving inbox has default Subsidiary/Location configured, as these override user defaults.
- Check Other Rules: Review Keyword Coding rules or Enrichment logic. Could another rule be populating the Subsidiary/Location fields before the user default applies?
- Test with New Upload: Manually upload a new test document into the correct team after verifying the settings. Does default coding apply correctly now?
