Step 1: Access and Understand the DOA Dataset

Your Delegation of Authority (DOA) rules are stored in a specific dataset within Zudello's settings. First, locate this dataset and understand its structure.

Steps:

  1. Navigate to Datasets:
    • Click the company menu (top right).
    • Click Settings.
    • Scroll down the left sidebar and click Datasets (under Team Data or similar section).
  2. Identify DOA Dataset: Look through the list of datasets for one typically named containing "DOA" or "Delegation of Authority".
    • Note: If you have multiple datasets or are unsure which one controls approvals, confirm the correct dataset name with your Zudello implementation contact or support.
  3. Open the Dataset: Click on the name of the DOA dataset to open it.
  4. Understand Key Columns: Familiarise yourself with the important columns:
    • Step Name: The label for this approval stage shown on documents.
    • User or User Group: Specifies who needs to approve (either an individual user or a pre-defined User Group). Using User Groups is generally recommended for easier maintenance.
    • Limit: The maximum financial amount (document total or matched line total, depending on configuration) that the specified User/User Group can approve.
    • Dimension Columns (e.g., Department, Location, Subsidiary): These columns link the approval rule to specific business contexts. A transaction must match the values in these columns (or the column must be blank/wildcard) for this rule to apply. Blank fields act as wildcards, matching any value.

What Happens Next?

You have located your DOA dataset and understand its basic structure. Now you can add new rules or modify existing ones.
