Step 3: Configure Delegation Options

With your delegate selected and the delegation period defined, there are two final options to consider before saving. These control the scope of the delegation.

Steps:

  1. Handle Existing Approvals: Decide what should happen with approval requests already assigned to you before the delegation starts:
    • Locate the Delegate existing approval requests toggle.
    • Turn this toggle ON if you want any approvals currently awaiting your action (before the From date) to be automatically rerouted to your delegate.
    • Leave this toggle OFF (the default) if you only want new approval requests that arrive during the delegation period to be sent to your delegate. You would handle any pre-existing requests yourself before leaving.
  2. Delegate Broader Duties (Use with Caution): Determine if you need to delegate more than just approval tasks:
    • Consider the Delegate duties toggle.
    • Turn this toggle ON only if you need to grant your delegate all of your Zudello permissions and document visibility for the specified period. This effectively lets them act entirely as you within the system for that team. This is a powerful option and should be used cautiously.
    • Leave this toggle OFF (the default and most common setting) to ensure only the specific task of approving documents is delegated.
  3. Configure for Other Teams (If Necessary): Remember that delegation is team-specific. If you are a member of multiple teams and need to set up delegation for them as well:
    • Select the next team from the Team settings drop-down menu at the top of the section.
    • Repeat the process: select the delegate, set the dates (from Step 2), and configure the options (steps 1 and 2 above) for that team.
  4. Save Your Settings: Once you have configured the delegation settings for all necessary teams, scroll to the bottom of your profile page and click the Update button to save all changes.

What Happens Next?

Your delegation settings are saved and will become active according to the "From date" you set. Your delegate will start receiving relevant approval notifications. You can remove the delegation manually if needed.
